Default Values in Inventory, Microsoft Dynamics GP

When viewing inventory data in the Item Quantities Maintenance window and in the Item Resource Planning window, an option exists to view the Default Values or the values stored for specific sites.  In most cases, Dynamics GP uses the information stored in specific site records. MRP, for example, will look at the replenishment method and settings specific to the sites and ignore  the default information. The Default Values are used only for a couple of specific jobs.  When displaying quantities of items, the default values record is used to show a summary of the quantities at all sites. For example, if a firm has 3 warehouses and stores parts at all
3 warehouses, the default values will show the sum of the quantities on hand at all three warehouses. The individual site records show the quantities (on hand, in use, allocated, et cetera) at each site individually.

A less well known use of the default values records happens when new site records are created. As the name implies, the values stored in the default values record (except for quantities on hand, allocated, et cetera) are copied to new site records when a new site record is created. If Reorder Point (min) and Order Up to Quantities (max) are set in the default values record and a new site is created, the new site will have the “maxes” and “mins” set to match the values found in the default values record!
